Online claim filing in EPFO – A dream fulfilled

Amit Madanani employed with a software giant in Noida, Uttar Pradesh decides to plunge into a start-up. He puts in papers to settle his PF account. Immediately gets fed up with missing details and enclosures that he has enclosed in his claim.

Balaji V employed in a Beedi establishment in Tirunelveli, Tamil Nadu applies for his claim settlement post retirement. There is no record of his date of birth with the company and all the certificates want him to celebrate different birthdays.

Bringing a sigh of relief to the tech savvy now the online claim filing is at their fingertips. Also the poor Beedi worker need not run after his ex-Bidi company owner to get his PF claims attested. His son or grandson can file his claims online on his mobile.

So many Amits and Balajis of India can get few things in order during their employment so that they need not run after their employers post superannuation/resignation. We shall discuss the same below and connect it with online claim settlement.

Who can file claims online?

Members having:

  1. Universal Account Number(UAN ) activated.
  2. Aadhar seeded and verified with UIDAI database for Name, Date of Birth and Gender.
  3. Bank Details seeded
  4. completed One Time Password for e-KYC before submitting claims

 

Which Claims can be filed online ?

 

Type of Claims Requirements
Full PF Settlement (Form 19) 1.      Date of Joining and Date of Exit must be available in EPFO database.

2.      Claim must be submitted after 2 months of leaving employment.

3.      Member must not be employed at the time of application.

Pension Withdrawal Benefit (Form 10C) 1.      Date of Joining and Date of Exit must be available in EPFO database.

2.      Claim must be submitted after 2 months of leaving employment.

3.      Member must not be employed at the time of application.

4.      Member must have completed a contributory service of atleast six months and less than 10 years.

Advances/ Partial Withdrawal

(Form 31)

1.      Date of Joining must be available in EPFO database to ascertain eligibility for advances.

2.      No enclosures/supporting documents required.

How to file your claims?

  1. Login to your Unified Portal member Interface using UAN credentials.
  2. Check for your KYC status. You can see and modify your KYC detail by going to Manage >> KYC link.
  3. Click on Online services >> Claim (FORM-31,19 & 10C)
  4. Select the relevant claim from Full EPF withdrawal, EPS withdrawal or Partial EPF withdrawal.
  5. On submission of the request, OTP will be generated on your UIDAI registered mobile.
  6. Authenticate the claim submission using OTP.
  7. On successful authentication, your claim will be submitted.
  8. You can check claim status by Clicking on TRACK CLAIM STATUS.

Important :

  1. Remember to enter PAN details if service less than 5 years. There is no provision for entering 15G details, hence any tax incurred will have to be claimed back from Income Tax Department.
  2. If you are not using the bank account seeded into your UAN portal, use an offline claim.
  3. If period of employment is more than 10 years, pension claim can only be submitted offline.

    My Question is about “Pension Withdrawal Benefit”

    I have worked for 8 years in same company and plan for pf withdrawal.
    Every month 541/- was contributed towards EPS and last 3 months of job 1250/-.towards EPS

    Can u tell me how much is my total EPS amount. My basic is 11,400/-.
    Please explain the calculation of EPS withdrawal before 10 years of service.

    1. You will have to file claim offline after getting attested through your employer. If you are employed in some other esablishment simply get your tranfer done online through unified portal.

  3. Hi! I quit my job at a Delhi NGO in April, 2017. However, when I logged on to the EPF website, my KYC had not been approved. I reached out to my former employer and they replied saying:

    “As per EPFO you are not our employee , because you left the organisation . After entering date of leaving. We are not authorized to approve your KYC and the site not accepting the approval

    So we have rejected the same”

    How do I get my KYC approved? Kindly advise. Thank you.

    1. You can get the same approved with your present or future employer and get the past service benefits added by transfer of benefits. For this you will have to declare your past service details to your present/future employer in Form 11.

      1. Thank you for your reply! I currently do not have an employer and am moving abroad, so may not have an Indian employer in the next few years. Is there no other way to get the KYC approved? Also, isn’t the previous employer at fault for not approving the same?

      2. Yes. The employer is at fault here. However, If you need to get your claim settled, apply through your ex-employer in hard-copy rather than wasting time in getting KYC approved online. Use simple Form 19/10C.

      1. I have two UAN numbers. I am unable to transfer online from the old UAN to the new because of the following error: “Present employer has not made payment in your PF account”. I am unable to claim the same online because of the following error: “Multiple member-id’s found linked to your UAN. Kindly transfer all to current member-id before proceeding.” Will all of this need to be done offline?

      2. As you suggested, I will approach my former employer with the hard copy of Form 19/10C. However, my UAN is not linked to my Aadhaar. Will I still be able to settle the claim and withdraw the amount?

I happened to check my account on the EPF website and it seems that now my KYC (PAN, Bank, and Aadhaar) has been approved online (I don’t know how, since earlier the employer was saying they can’t do because I am not an employee). I tried Online Claim from the website but the only option I am getting is PF ADVANCE (FORM 31). Is this because my DOE has not been updated on the website? How do I resolve this and claim the full amount? Please advise, thank you!

      3. The employer has to update your date of exit and your Aadhar details( Name, Date of Birth, Gender) should be exactly the same in EPFO records and Aadhar detabase. I will recommend to use CCF(Aadhar).

      4. Hi, Admin. Since the last time I posted here, I have done the following:

        1. Submitted one claim offline (physical)
        2. Submitted one claim online (EFPO website)

        While I am waiting for an update on the online claim, the physical claim was rejected. The reason given was:

        Reason of rejection: Certificate submitted is improper.
        Remarks by AO: Form 9 not submitted by employer/ok.

        I have a query regarding my online claim. The Pension Benefits (Form 10C) were settled and the amount was transferred to my bank account. However, the amount was more than the one mentioned in my Passbook under ‘Pension’. Form 19 claim is still Under Process online. Is this possible? To get an amount that’s higher than the one mentioned in the passbook? Also, is it possible for Pension claim to get settled before PF Final Settlement if both were submitted on the same date?

      6. 1. Pension benefits are calculated based on a formula of Pension wages and length of service and is not the same as your contribution to Pension Fund plus Interest, unlike Provident Fund.
        2. It has to seen what reason they have quoted for rejection. If form 10C is settled and not form 19, it may be due to nonsubmission of PAN details/Form 15G in case service is less than 5 years. There could be many more reasons for rejection.

  6. Hello, I am trying to make a transfer to a new PF account via the EPFO portal. I asked my previous employer to update the Date of Exit which was missing. My previous employer confirms that the changes were done. But even after 2 days i do not see the changes reflected. Now when i try to initiate transfer it fails with reason being details do not match,

    Any help/hints would be much appriciated.

  7. I had earlier got the pf amount from an old employer transferred to my ex employer back in 2015 itself. However, even though the amount was transferred, the old PF account still shows up in my UAN portal. I m currently working on my own startup and need to close the pf account. My ex employer has helped me a lot in seeding Aadhar and KYC details. However, the portal now says that there are multiple member ids linked to my account, even though one of the account has all the money and the other has zero amount. Things are getting delayed because of a stupid bug in UAN portal. I cannot put in an offline claim because going to Bangalore is not feasible for me anymore and I m worried that my ex employer might get annoyed with the constant pings when they are not even at fault.

    1. You need not visit a place to submit your physical claims. Sending them through your ex-employer by speed post will be just as fine. Linking of multiple accounts to single UAN is not a problem if PF benefits and service details have been aggregated in the latest PF account. Otherwise form 13 for claim transfers also needed to be submitted. All the best…

    First of all let me congratulate and thank you for a brilliant blog, and more so on the great response times for queries. I am racking my brains, surfing online for the past 1.5 months to get my PF account transferred to my new/current employer – and have done a lot of steps, but I guess many still remain. Quora and other blogs have all good advises, but I guess every case is unique – to which your replies matter a lot. In view of this, there are a lot of queries, all going below:

    1) I left my ex-employer in 2013, and did not initiate any transfer till now. I assume my older PF account is inactive (because of the 36 month rule). I went to the inactive account helpdesk here – http://103.194.45.139/INOPHelpDesk/, but could not submit – I am getting an error that form could not be submitted, and contact the helpdesk via email. This occurred 3 times inspite of furnishing all the details. Why is this happening? Is it due to a KYC problem (My PAN and Bank Account are KYC approved in the member portal, but Aadhar is pending) ?

    2) I tried to register and link my Older PF account number with my current UAN by using the One Employee, One EPF account url – http://103.194.45.139/UANDEDUP/, but even this is not getting matched and linked, and error says it cannot fetch my previous details, or previous member-id is not in the database. Is this because my old EPF acc is inactive?

    3) How can I ascertain whether my Date of Exit was provided correctly by my ex-employer, and whether it is updated in the EPFO website? Is there a url I can go to verify (with the account sill inactive?)

    4) As you can imagine – to initiate transfer via OTCP, I am unable to link my old PF with the UAN, even at the member portal – https://unifiedportal-mem.epfindia.gov.in/memberinterface/, and it says NO DATA FOUND AGAINST THIS MEMBER ID : XXXYYYy…… WHEN CHECKING PREVIOUS EMPLOYMENT DETAILS. Is this because the account is inactive?

    I want to try online only – since I cannot submit a physical form. Given all the points above, what should be my plan of action. Sorry for the very long post.

    1. From the information you have posted above, you can initiate claim transfer ONLY through physical claim Form 13. I will do a detailed post based on the recent clarification of EPFO regarding claim transfers.

    In my UAN portal all my details like PAN, Adhaar, bank account number all are updated but Date of joining only available Date of exit is not updated
    So I can’t able to withdraw online.(already 2 months over from DOE now not joined in any company)
    My question is how to update Date of exit ?I already contacted my last employer it’s of no use.

  11. Thank you for such a detailed blog. It’s really helpful. I would need your help in getting my PF transferred from my previous company (TCS). I left my previous company(TCS) in Jan 2017 and in my current company(Synechron) I had initiated my online PF transfer back in 19th May 2017. It’s been 5 months now and still I cannot see my old PF balance have got reflected in my current PF account. My previous company had already send the annexure K details mentioning all information (Payee name as – REGIONAL PROVIDENT FUND COMMISSIONER PUNE) and PF transfer date as 15/06/2017 with PF amount to be transferred and I have submitted the same to my current organization. Till date every time I chase the PF guys they say its been under process..it should happen quickly don’t worry like that. Could you please guide me how and where to check my PF transfer is stuck or not? When I login to the current EPFO site (https://unifiedportal-mem.epfindia.gov.in/memberinterface/) and click on Online services tab -> then claim form it shows – Multiple member-id’s found linked to your UAN. Kindly transfer all to current member-id before proceeding. Also originally the portal from where I initiated the transfer claim request dont seem to be working now(http://memberclaimstest.epfoservices.in/). Request your earnest help on this.

      1. Thanks Admin. I have submitted the request to link various accounts..and in status it’s showing NO ACTION TAKEN…any idea how long will it take?
        Also I have raised a grievance on epfigms.gov.in..but unfortunately I coudn’t get hold of the registration no and no email or sms confirmation also came for the same. Now I am again trying to raise the grievance it’s showing already raised and cannot be done within 30 days. Any idea from where I can get the registration no for my grievance raised?

        I raised the grievance and got a reply today stating that – ‘no action required. transfer in amount will be processed as and when received from cash section’. Could you please explain what it means? Is it something pending from my previous company? Also I checked with my current company , they stated that my previous company needs to process the ‘text file’ [not sure what it means]. As soon as they process the ‘text file’ the previous company PF amount would get reflected in my current PF online passbook statement. Could you please throw some light on this ‘text file’ if possible also.

    Thanks for giving suggestion to various problems.
    As per recent supreme court order there is a massive hike in pension. Now the question is when it will be implemented for all. I applied for the increase in pension to the EPFO organisation at 44 Park Street kolkata. having not received any reply from the office I visited the office when they told there is no circular for your plea, We cant answer you at this moment.
    Can You advice me how to proceed.Is there any Form by which I can apply online or I gave to write to Delhi office for getting the relief.

    1. The supreme court judgement has not been understood in correct perspective by many. There are many vested interests giving false hopes even in ineligible cases and misguiding.
      I would suggest you to meet the Regional PF Commissioner on the 10th of any month during grievance redressal programme”Nidhi Aapke Nikat” and get your eligibility examined. No need to run here and there.

  15. Hi, i worked in company A for 8 years where i have got UAN and than i joined company B. Company B has created new UAN no.(i have given my old UAN but they created new account) My Addhar and bank details are not verified by company till now. I resigned company B(duration-11 months) and joined company C. now i am trying for one employee one account so i can get my all accounts in one but when i try from Company A UAN No. it says
    Online claim request cannot be processed as :-
    Present employer has not made payment in your PF account.
    From Company B UAN it is not possible as it is not verified. I am trying to convince from my end but employer is not ready to verify details.Also when i downloaded passbook of company B i come to know for February month there is no entry of PF .
    Kindly please let me know exactly what can i do to get my one employee one account.
